Client Service Associate
A boutique wealth management RIA registered with the SEC is seeking a Client Service Associate who has experience within a private client environment to join our team. The right candidate will have an energetic personality with a passion for delivering excellent client service and building relationships with clients while working closely with multiple advisors.
Client Service Associate Responsibilities
- Assist with answering phones and handling all client service issues within capacity
- Prepare paperwork for client meetings while ensuring all required forms are completed accurately within proper time parameters
- Schedule and sit in on periodic client review meetings, taking detailed notes and following up on all service needs post-meeting
- Process new business for advisor and assist in the onboarding of new clients
- Track pending business paperwork; updating various systems and communicating effectively with appropriate parties within the Firm
- Assist advisors with marketing efforts, such as following up with referrals, updating contact management system with names of prospects, and spearheading DRIP programs for prospects and clients
- Provide administrative support including:
- Maintain and update client contact records using the Firm’s CRM
- Maintain and organize client files in the Firm’s Document Management System, including copies of all signed applications and forms
- Prepare and send outgoing mail/correspondence
- Maintain appropriate turnaround time on incoming items
Client Service Associate Requirements
- Bachelor’s Degree and 1-2 years’ relevant experience
- Proficiency in Microsoft Office Suite (Excel and Word)
- Experience working with performance reporting software, CRM databases, and document management software a plus
- Working knowledge of personal financial planning topics and strategies; basic understanding of industry rules and regulations is required
- Strongly prefer candidates with RIA experience in a private client environment
